Checking In Participants – Pit Pay / Kart Pass

Scanning a Participant’s Pass

On the Dashboard home screen, you’ll see your upcoming events.

  • In your event, tap the orange bar labeled “Scan Participants.”
  • Tap the orange bar labeled “Turn Camera On.”
  • Tap “Allow” to give the Dashboard access to your device’s camera.
    • If you have an Android device, you will also tap “Allow” again for Chrome to allow photos.
  • Align your camera window over the QR Code on the Participant’s Mobile Pit Pass.
  • When the pass has been scanned successfully, you’ll see a green bar saying, “Pass is Checked In.”
  • If the pass isn’t valid or the scan isn’t successful, you’ll see a red bar come up on your screen showing that it’s an “Invalid Pass or Scan.”

Here are some troubleshooting tips…

If everything on the Pass looks valid, but you’re still getting an error, you can check the Participant in using the Participant List or ask the Participant to show you Proof of Purchase with their transaction history in the app or their emailed receipt.

You can also check to make sure that the Participant is showing you the correct pass if he or she has purchased multiple passes. Some quick items to check are that the Event Date on the Pass and the Pass Color match the Event Date and the Color Code for that Pass Type in the Dashboard. If they have already checked in, the pass won’t scan again.

If you notice that any of the information on the Mobile Pit Pass doesn’t seem to be accurate for your event or doesn’t seem to match the Participant, always ask to check the Participant’s photo I.D. and have them sign a paper waiver.

That way you’re always covered!

If the scanner is not picking up the QR code for any reason, check the Participant in using the Participant List instead.

How to Check In Participants Using the List

On the Dashboard home screen, you’ll see your upcoming events.

  • In your event, tap the orange bar labeled “View Participants List.”
  • You can tap “Passes on Sale” to see all of the passes that were available for purchase for that event, so you know what to look for.
  • The Passes on Sale screen shows all of the passes available for this event and the corresponding color codes, along with the pass prices.
  • The Participant List view will show all of the Participants who have current, valid passes for that Event Date.
  • In the Participant List, you will see a box beside each name. An empty box indicates the Participant has not checked in. An orange check mark means the Participant has checked in.
  • If you’re looking for a specific Participant, you can use the search bar at the top of the screen, or you can simply scroll down the list to find them.
  • To view the Participant Details, tap the orange arrow to the right of the Participant’s name.
  • The Participant Details box shows each Participant’s information and the passes they purchased.
  • To check in all of the passes that the Participant purchased, tap the orange bar labeled “Check in all Passes.”
  • You can also tap the blank box beside the Pass Names to check in the passes individually.
  • If a Participant was issued a refund and doesn’t have another current pass, you will NOT see them on the Participant List, but they WILL appear on the Transaction List and on the Transaction Report with the refund clearly marked.
  • For multi-day events, use the Date Selector to toggle between different event days and see the Participant List for each day of a multi-day event.
